Project Challenges

The Request for Tender (RFT) process for subcontractor services had become a significant operational cost for Matthäus Schmid. With the processing time, paper consumption and postage, the costs in time and money involved in their RFIs had increased in recent years.

Solutions

The concept of digitalisation is successfully being implemented by the building industry. Today, many subcontractors will request contract specifications and tender documents in an electronic format after they have received the documentation by mail. To rationalise costs and processing time, Matthäus Schmid decided to digitalise their tender processes using thinkproject’s tender management solution.

Within this, automated emails enable information to be sent electronically to subcontractors and because they have integrated reproduction service providers into their process, it means subcontractors still have the option of receiving hard copies of tender documents if they so wish.

Outcome

Now when Matthäus Schmid imports a file from their address database that contains contact data from subcontractors, after they have entered the project data once, a range of RFTs can be created in the platform. Related correspondence is then generated using predefined fields that can be edited to suit the needs of all parties.

thinkproject enables links to tender documents with the subcontractor list, so that the RFT is ready for dispatch to any number of subcontractors. Each subcontractor receives a separate email containing an embedded link so they can easily download the tender documents, which also minimises storage used in the email inbox.

Client

The family-run Matthäus Schmid construction company was founded in 1963 and has since grown to over 300 employees in that time. In 2016 they won the BIM Award, attesting to their dedication to digialisation within the construction industry.
